Booking Terms and Conditions

These terms and conditions, together with the information available on our website, constitute the contract between Best Tour Options (the operator) and you, and apply to your reservation made through our website or by email. By paying the deposit, you agree to these terms.

1. Force Majeure

Force majeure is considered to be any unforeseeable and unavoidable event beyond the control of Best Tour Options, even with due diligence. This includes, but is not limited to, war or threat of war, civil unrest, social conflict, terrorist activity, strikes, health crises, natural disasters, extreme weather conditions, fires, and other similar events.

In such circumstances, Best Tour Options will not assume any liability and reserves the right to modify, reschedule, or ultimately cancel the trip if necessary.

2. Travel Insurance

We strongly recommend purchasing travel insurance that covers accidents, medical expenses, emergency repatriation, rescue, and air ambulance transfer. It is also advisable to include coverage for cancellations and lost luggage.

For added security, we ask that you email a copy of your policy, including the name of the insurer and the policy number, or present this information upon arrival at our office.

3. Payments

To confirm your reservation, full or partial payment is required, as applicable. We accept payments through PayPal and We Travel (for international transactions), as well as Yape, Plin, and interbank transfers (for payments within Peru).

The debited amount will correspond to the value indicated in US dollars on your invoice. If payment is made by credit card, the conversion to your local currency will be processed by your card issuer, which may apply foreign exchange fees and other additional charges.

Important: We are not responsible for currency conversions or fees charged by your bank or credit card provider. For any questions regarding these charges, please contact your financial institution directly.

4. Transaction Charges and VAT

The published rates do not include transaction fees. Therefore, the following surcharges apply depending on the payment method:

  • A 6% surcharge for payments made through PayPal (applicable to foreign tourists).
  • A 5% surcharge for payments via payment link in Soles (applicable to Peruvian tourists).

Regarding the IGV (General Sales Tax):

Foreign tourists: Exempt from IGV.

Peruvian tourists: An 18% surcharge applies to the published rates.

These charges should be taken into account when making your payment to avoid inconveniences.

5. Cancellations and Refunds

5.1 Tour Packages in Peru and Cusco

  • A 50% deposit is required to confirm your reservation.

This deposit is non-transferable and non-refundable under any circumstances.

No refunds will be given in cases of altitude sickness, food poisoning, family emergencies, or any other reason given by the passenger. NO EXCEPTIONS.

It is strongly recommended to purchase travel insurance that covers cancellations.

5.2 Day Tours in Cusco

  • For group tours, full payment is required at the time of booking.
  • For private tours, a 50% deposit is required.

Refund Policy:

  • Up to 14 days before departure date: 75% refund of payment.
  • Up to 48 hours before departure date: 50% refund of payment.

No refunds will be given in cases of altitude sickness, food poisoning, family emergencies, or any other reason given by the passenger. NO EXCEPTIONS.

It is strongly recommended to purchase travel insurance for added protection.

It is important to review these conditions before making a reservation.

6. Cancellations due to Force Majeure

Tours to Machu Picchu

  • A 100% deposit is required to secure your reservation.
  • Deposits are non-refundable and non-transferable under any circumstances.
  • No refunds will be given in cases of altitude sickness, food poisoning, family emergencies, or any other personal reason. NO EXCEPTIONS.
  • Travel insurance that covers cancellations due to unforeseen circumstances is strongly recommended.

These conditions are aligned with the regulations of the Peruvian Ministry of Culture, so it is important to consider them before making a reservation.

7. Cancellations by the Operator

7.1 Modifications or Cancellations

The operator reserves the right to modify, reschedule, or cancel any trip if weather conditions or other unforeseen circumstances so require.

7.2 Refunds in case of Cancellation

  • If cancellation occurs before departure from Cusco, the customer will receive a full refund via the same payment method used.

  • If cancellation occurs after departure from Cusco, due to force majeure or any other circumstance, no refunds will be issued.

7.3 Customer Responsibility

  • Once the hike or tour has begun, no refunds will be issued if an individual or group cannot continue for personal reasons.

  • The operator is not responsible for adverse weather conditions, so the passenger accepts the possibility of experiencing rain, wind, snow, or fog during the experience.

  • Conditions may change without notice, and if the operator must cancel the tour mid-tour, no refunds will be given.

It is recommended that you purchase travel insurance to cover unforeseen events that may affect your experience.

8. Dietary Requirements

We work to accommodate most special dietary requirements; however, because we operate in remote environments, it is not always possible to guarantee specific options. It is essential to inform us in advance of any dietary restrictions or special needs, as if not communicated before the start of the trek or tour, we may not be able to offer a suitable alternative. In the case of severe food allergies, it is recommended to carry the necessary medical equipment, such as an EpiPen or antihistamines, to prevent any adverse reactions. Passenger safety is the responsibility of each traveler.

9. Confirmation of the Reservation

Once payment is made, a booking confirmation will be sent via email and WhatsApp for faster and more efficient communication. This message will include key information about the itinerary, included services, what to bring, and meeting points with specific times. It is recommended that you carefully review these details to ensure a smooth experience. It is the traveler’s responsibility to ensure they wear appropriate clothing and footwear for the hike and to follow the instructions provided.

10. Changes to the Terms and Conditions

The Operator reserves the right to modify these terms and conditions at any time without prior notice. All reservations will be subject to the terms in effect on the date of booking. It is recommended that you carefully review the terms and conditions before confirming any reservation to be fully informed of the applicable policies.
